    The Operations Project Manager is an administrative position responsible for designing, managing, communicating, and tracking status of Operations Projects including resources, schedules, and budgets.   The Operations Project Manager will also create and present the project portfolio to supply status to all stakeholders using accepted Project Management practices on all projects.

    To give you an idea of the team structure, you will work on a team with 3 other project managers focused on operational projects, while reporting to the Director of Client Services with a dotted line to a Vice President of Operations.


    Below is an overview of the duties and responsibilities you would take on in this role:

    • Work within the Operations Department to lead and partner in a wide variety of projects related to achieving Heartland Dental’s top company goals.
    • Partner and ensure the work is completed for the project within the set timeframes.
    • Obtain official approval and priorities for projects
    • Meet with Operations Leadership, committees, and working groups to understand cost, time, and resources necessary. Define metrics and key milestones.
    • Establish resource, budget, and schedule need for projects
    • Build project plans based on best practices to include critical paths and milestones.
    • Identify and document risks and issues. Have issue meetings to determine resolution and impact on the project.
    • Build and follow communication and status plans for all projects reporting any deviation from accepted project plans
    • Manage and ensure project reporting measures defined KPIs along with project ROI and is communicated in an defined/approved frequency,
    • Lead project meetings for each project team and for management. Identify and obtain approval for scope creep that impacts time, cost, and resources.
    • Identify project tools for best practices (ie. MS Project)
    • Coordinate internal resources and third parties/vendors for the flawless execution of projects
    • Ensure that all projects are delivered on-time, within scope and within budget
    • Ensure resource availability and allocation
    • Report and escalate to management as needed
    • Manage the relationship with the client and all stakeholders
    • Create and maintain comprehensive project documentation
    • Attend conferences and training as required to maintain proficiency
    • Perform other related duties as assigned
    • Develop spreadsheets, diagrams and process maps to document needs
    • Ability to exercise discretion and independent judgement with respect to important project matters
    • The performance of office or non-manual work related to the management or general business operations of Heartland Dental and it’s supported offices.


    Minimum Requirements:

    • Bachelor’s Degree in appropriate field of study or equivalent work experience.
    • Practical knowledge of Project Management concepts
    • Strong computer skills, including experience with Microsoft Word, Outlook, and Excel and PowerPoint.
    • Strong organizational skills, accuracy and attention to detail 
    • Ability to work well under pressure and prioritize multiple tasks
    • Strong verbal and written communication skills
    • Ability to interact with co-workers in a collegial manner to accomplish common tasks
    • High level of maturity, personal initiative, and sound judgment
    • Experience of PM and an understanding of Operations.
    • Strong communication skills, both oral and written in order to effectively interact with customers, different departments, and third party vendors.   Ability to coordinate and lead meetings with stakeholders and senior management.
    • History with project management utilities (such as MS Project or similar)


    Desirable Qualifications:

    • Project Management Professional Certification (PMP) or MBA
    • Experience in MS Project
    • Experience working with complex high level projects that touches multiple departments
    • Advanced knowledge of Microsoft Excel
